Build It Pros operates a platform used by independent contractor businesses (“Companies”) to manage project requests and estimates. When you submit a request or receive an estimate through a Company’s branded page (for example, a page at builditpros.com/[company-name]/), your information is shared with that Company for the purpose of preparing, delivering, and following up on your estimate. Each Company can only see the information submitted to it — not information submitted to other Companies on the platform.

Project request information: When you submit a project request, we collect your name, email, phone number, street address, city, and state, along with a description of your project, preferred timeline, and any photos you upload.

Account information: If you register for a customer account, we collect your name, email, and the credentials you create.

Estimate acceptance information: If you accept an estimate, we collect the typed name you provide as an electronic signature, the date and time of acceptance, and the IP address the acceptance was made from.

Communication records: Notes from phone calls, text messages, or emails regarding your project may be logged in our system, including calls and SMS messages made or received through our business phone service.

Location data: Job site addresses are geocoded (converted to map coordinates) using Google Maps services for the purpose of generating accurate estimates and travel cost calculations.

IP address: When you view an estimate using your emailed link, we log the IP address(es) used to access it, along with the first and last time each IP was seen. This allows us to keep your estimate link secure and limit how many devices can use it. We also log IP addresses briefly when photos are uploaded through the project request form, to prevent abuse of the upload system.

Mobile opt-in information: If you consent to receive text messages from us, we collect your phone number and the record of your consent (including the time and method of opt-in). See “Data Sharing” below for how this information is — and is not — shared.

Trial signup information: If a contractor business signs up for a trial account, we collect the business name, owner name, email, and phone number, business address, service area, and (if provided) contractor license/ROC number, along with a description of the services offered.

Fraud-prevention signals: To protect our free trial offering from abuse, we collect a randomly-generated identifier stored in your browser (a cookie), along with limited technical information about your browser and device (such as browser type, screen resolution, time zone, and language settings) and information about your network connection. This information is used only to detect and prevent misuse of free trial offers — it is not used for advertising, analytics, or any purpose unrelated to trial-abuse prevention, and is not shared with third parties for marketing purposes.

Billing information: If a Company subscribes to a paid plan, our payment processor, Stripe, collects and processes payment card and billing information on our behalf. We do not store full payment card numbers on our own servers — we retain limited billing metadata, such as subscription status and billing dates, needed to manage the account.

We use the information collected to:

• Evaluate and respond to project requests
• Generate estimates, including AI-assisted scope drafting
• Calculate travel/fuel costs for internal job planning (not shown to customers)
• Send estimates, invitations, and related notifications by email or text message
• Apply correct local tax rates based on your location
• Maintain records of project communications
• Secure estimate links and limit the number of devices that can access them
• Record and confirm your acceptance of an estimate
• Detect and prevent abuse of free trial offers
• Process subscription payments and manage billing for Companies on a paid plan

• Customer data is not shared with third parties for promotional or marketing purposes.
• Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing described elsewhere in this policy excludes mobile opt-in data.

Google Maps Platform: We use Google’s Geocoding, Distance Matrix, and Maps JavaScript APIs to determine job site locations and driving distances. Address information is sent to Google for this purpose; this occurs only when an administrator processes your estimate, not automatically. Your IP address is never shared with Google — all requests are made from our server.

Anthropic (AI scoping): Project descriptions and notes may be processed by Anthropic’s AI services (Claude) to help generate draft estimates. This is performed by our staff and is not customer-facing.

EIA (U.S. Energy Information Administration): We use publicly available fuel price data for internal cost calculations. No personal information is shared with this service.

Cloudflare Turnstile: We use Cloudflare Turnstile on our public forms (project requests, estimate responses, and trial signups) to help distinguish real visitors from automated bots. Turnstile may process limited browser and device signals to make this determination.

Stripe (billing and payments): We use Stripe to process subscription payments from Companies on a paid plan. Stripe collects and processes payment card information directly on its own secure systems; we do not receive or store full card numbers. Stripe’s use of information is governed by its own privacy policy.

Grasshopper (business phone and SMS service): We use Grasshopper to manage business calls, voicemail, and text messages related to your project. Phone numbers, call metadata, voicemail messages, and SMS communications may be processed through this service. See our Messaging Terms and Conditions below for details on SMS communications and how to opt out.

Email delivery: Estimate and notification emails are sent via our website’s email system.

1. The messaging program consists of general conversational messaging to answer questions and provide support to customers.
2. You can cancel the SMS service at any time. Just text “STOP” to the phone number from which you received messages. After you send the SMS message “STOP” to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.
3. If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at [email protected].
4. Carriers are not liable for delayed or undelivered messages.
5. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

Your information is stored in our website’s database, hosted with our hosting provider. Photo uploads are stored in our media library. We retain project and estimate records as part of our normal business recordkeeping, with the following specific limits:

• IP addresses logged for estimate link access are retained for 180 days, then automatically deleted
• IP addresses logged for photo upload rate-limiting are retained for 24 hours, then automatically deleted
• Registration invite links expire after 7 days
• Fraud-prevention signals collected at trial signup (browser identifier, device information, and network information) are retained for 180 days to help us detect repeat abuse of free trial offers, then automatically deleted

We use industry-standard measures to protect your information, including encrypted storage of sensitive credentials and secure (HTTPS) transmission of all data.

Only authorized personnel may access customer data, and only for legitimate business purposes such as preparing estimates, responding to project requests, or providing customer support. We use administrative, technical, and physical safeguards designed to protect your information from unauthorized access, use, or disclosure. These safeguards include encrypted storage of sensitive credentials and API keys, secure (HTTPS) transmission of all data, and access controls that limit each Company on our platform to only the customer data submitted to that Company.

• You may request correction or deletion of your information, subject to our recordkeeping obligations
• You may decline an estimate at any time without further obligation
• You may opt out of text messages at any time by texting STOP to the number you received messages from
